Transfer Policy

A student transferring to Colby Community College from any accredited college or university must have official transcripts mailed to the Registrar's Office (Colby Community College, 1255 South Range, Colby, KS 67701). A student may be eligible for an Associate of Arts Degree, an Associate of Science Degree, an Associate of General Studies Degree, an Associate of Applied Science Degree, or a Certificate Program utilizing the credit hours transferred from another accredited institution. A minimum of 15 semester hours must be completed through Colby Community College.

A transcript is a copy of a student's permanent academic record. It contains confidential information and cannot be released to anyone without the student's written permission and signature. A transcript is official if it is signed by the Registrar and imprinted with the college seal.

Transcripts for a student's secondary and previous college education, which have been submitted to Colby Community College as a requirement for admission, become a part of the official file. CCC does not reissue or certify copies of transcripts from other institutions. Transcripts must be ordered directly from the institution where the coursework was taken.

TRANSCRIPT FEE

The transcript fee is $5.00 per copy and the fee must be paid in advance by cash, check or money order (payable to CCC).  All major credit cards are accepted.

HOW TO ORDER A TRANSCRIPT

NOTE: Transcript requests will normally be processed within 2 working days of receipt; however, a longer period of time may be required for processing at the end of each semester and during peak enrollment periods. By MAIL or FAX send your written request to the following address:

**We encourage you to call us at (785) 460-4677 after faxing your request to be sure that we received the FAX in readable form and that there are no HOLDS on your transcript.

A. INCLUDE THE FOLLOWING INFORMATION:

  • Your name (Please include all names we may need to look under).
  • Your social security number.
  • Your date of birth.
  • Your approximate dates of attendance at CCC (include any degree and date earned).
  • The number of transcripts you are ordering.
  • The complete address(es) where each transcript is to be sent.
  • If separate sealed envelope is required, please indicate so.
  • Enclose $5.00 for each transcript requested. Payment must be made in U.S. dollars (cash), check/money order on a U.S. bank, or credit card (VISA or MasterCard).
  • Your original signature.
  • Your current address and day-time telephone number.
  • Indicate if you want transcript sent after current semester grades are posted and/or after degree statement is on your record.
  • Any requests that will include credit card transactions must include the cardholder's name, account number, expiration date, and which card (Visa or Mastercard) is being billed.

B. IN PERSON

Make your request at the Registrar's Office in the Student Union at Colby Community College.

Our office hours are Monday through Friday, 8:00 a.m. — 5:00 p.m. Transcripts are printed once a day and are not normally available "on demand." If you are picking up a copy of your transcript, please have your photo ID available for identification purposes.

C. OTHER IMPORTANT INFORMATION

Please note the following:

  • No one else (including your parent, spouse, etc.) may pick up your transcript without your written permission and signed authorization. Please identify in your request the name of the person who is authorized to obtain your transcript.
  • Transcripts will not be issued if any institutional obligations exist with CCC.
  • Transcripts picked up by you or sent directly to you will be stamped "Issued to Student" unless the request instructs us to put the transcript in a sealed envelope. Some institutions will not accept a transcript that is marked "Issued to Student."
  • Transcript requests are not accepted by telephone or email.
  • Transcripts that are faxed to another insitution or person are considered to be an advising document (unofficial) ONLY, and an official transcript may need to be sent in addition.

D. VERIFICATION REQUEST

If a verification statement is needed for current or past enrollment (such as for health insurance, good student discounts on car insurance, credit card applications, housing applications, etc.) the process and fees are the same as for transcripts.
